SEP Hosting
SEP Hosting is one of the most important pillars of EPSF and SEP portfolio, and EPSF, Egypt has always been a strong hosting MO in IPSF with average of 30 incoming students every year, EPSF and SEP team’s main aim is Improving the hosting experience and encouraging more students to choose Egypt, which supports the growth and sustainability of the exchange program.
Goals of SEP Hosting in EPSF, Egypt:
- Provide a safe and comfortable environment for SEPers
- Ensure a well-organized and smooth experience
- Offer a rich cultural and social journey
- Support SEPers throughout their training period
- Maintain effective communication and proper handling of different situations
- Represent the association and country in a professional and welcoming way

[Before Hosting]
1. Prepare training opportunities and accommodation in collaboration with the LOC and ER
2. Define the time period during which hosting can take place
3. Continuously work on increasing SEP knowledge within the team and the association to ensure readiness at any time
4. Ensure proper coordination and planning before receiving SEPers
[During Hosting]
1. Prepare a complete plan for each SEPer and design a social and cultural plan to introduce Egypt, its culture, and landmarks
2. Customize the plan based on the SEPer’s personality, preferences, and budget
3. Prepare a hosting team that will support you throughout the process
4. Ensure the team is representative of Egypt, well-educated, and able to communicate professionally
5. Provide continuous support and ensure a smooth, enjoyable experience
6. In case of any critical issue → inform the SEO
7. Deal politely with SEPers’ inappropriate behaviour first If the issue continues, escalate it immediately to the SEO
8. Be ready with alternative plans with the same quality
9. Ensure availability of an emergency team (online/offline) and Choose team members close to the location for fast response
10. Provide SEPers with emergency contacts and clear instructions
11. Prepare for situations like robbery, getting lost, or health issues
[After Hosting]
1. Maintain continuous contact with SEPers even after their stay as SEPers act as ambassadors who promote their experience in Egypt
2. Build long-term relationships that can support future collaboration and improve hosting performance
3. Use their feedback and connection to enhance future work with the team
Tips and Tricks for SEP proposal:
1. Applying for both Winter and Summer cycles increases your chances of being accepted for hosting.
2. Extending the hosting period increases our chances of acceptance and improves exchange capacity
3. The proposal includes sections for: ER, LOC, HR, Media and Publications & Marketing, However, it is fully filled and submitted by the LEO
4. Ability to host SEPers in emergency cases is a plus
5. Minimum requirement: at least 2 trainings must be provided
6. All regulations and rules must be clearly communicated from the beginning
7. Always prepare alternative plans (Plan A & Plan B) for trainings
8. Provide a City Booklet for SEPers as it’s uploaded in Golden Egypt Website which helps the SEPers to choose between the LAs
●Time Line
Proposal submission:
is due early December for the winter and by the end of December for the summer.
Hosting timeline:
winter from the end of January to end of February.
Summer from beginning of July to end of September.
